2012 Policies & Procedures
The following are the general guidelines CCWGL uses throughout the year in order to make things run smoothly. They reflect the decisions of the Executive Board and are flexible to the extent that the Board may modify them as the need arises. The Board is always open to suggestions from the members and encourages your input.
MEMBER RESPONSIBILITIES
- Dues must be paid by the annual meeting and are nonrefundable.
- Members are responsible for activating their GHIN status at their home course in the spring. A player must have a current GHIN index to play in the League. Exceptions to this will be allowed when a member’s home course has not yet activated their GHIN system.
- Members are responsible for contacting the Membership Chair (stanstone19@aol.com) in a timely manner with any alterations to their personal data: changes to email address, mailing address, phone number, club affiliation, etc.
- The website (ccwgl.org) should be consulted frequently for updates and general announcements. It is a member’s responsibility to be aware of any new information.
- All CCWGL scores must be posted. The Handicap Chair will monitor scores.
- The Sunshine Committee is responsible for sending remembrances to members as needed. Please call or email (djmikkila@comcast.net) the Sunshine chair when you become aware of a member at your course who should receive one.
REQUIRED PLAY & GHIN INDEX
- All CCWGL members are required to play seven (7) times each year to maintain their membership as per the bylaws.
- CCWGL bylaws prohibit a GHIN index higher than 25.4. Should a member’s index rise above this, she will be allowed to play for three (3) GHIN revision cycles and if, at the end of that time, the index is still above 25.4 she shall be ineligible for play. She will be eligible to return to play when her index is at or below 25.4.
- For the purposes of weekly play, no index greater than 25.4 will be used in the computation of strokes for the scorecard. Guests at special events will not be held to this restriction.
- When an event is cancelled by the host course, players who are entered in the event on the date of cancellation will get credit for a time played.
- A player who has signed up and elects not to play due to weather conditions will not get credit and may be subject to the cancellation fine.
EVENT GUIDELINES
USGA RULES WILL GOVERN ALL EVENTS
WEEKLY PLAY:
- Registration: Members must sign up on the website no later than four (4) days prior to the play date. Registration closes at 11 P.M. on that date. (i.e. for a Thursday event, registration closes at 11 P.M. Sunday night.)
- Cancellation: Should there be a need to cancel participation the following applies -
- Prior to the four-day deadline, a registration may be cancelled on the website directly.
- After the deadline, a $20.00 fine will be assessed provided the Tournament Chair is contacted by phone or email (508-457-5595 or marycolacchio@verizon.net)
- Failure to notify the Tournament Chair of intent to cancel will result in being charged the greens fee for that event.
- Members are not allowed to play until outstanding penalties are paid.
- Late Registration: Any member who finds they want to play in an event after the sign-up deadline has passed may phone the Tournament Chair directly (508-457-5595) and will be able to play on a space-available basis.
- Verification of event entry: Members will be informed by email of registration for events and the event details approximately two days in advance. If the member does not receive an email for an event she should assume she is not entered and contact the Tournament Chair.
- Checking in: Since the fee for the day’s event is indicated on the verification email, members are expected to have their check ready to turn in to the Tournament Chair when they sign in.
- Weekly Format & Prizes: The weekly format will be determined by the Tournament Chair based on the size of the field.
- Tournament Fee: The cost of weekly events includes the greens fee, cart fee and prizes.
- Rules of the Day: The Tournament Committee will determine the conditions of play for each event. Local rules and whether we are playing the ball “up” or “down” will be decided based on consultation with the course pro. These stipulations will be announced before we go out to play. Local rules of each course should be checked by each team prior to play.
- Blind draws: Should a blind draw(s) to complete a foursome be needed, the Tournament Chair will select an individual whose GHIN index is closest to that of the missing player. Players cannot win on two teams and the higher finish will be paid.
- Team Captain – The captain of the team is responsible for the accuracy and prompt return of the scorecard to the Tournament Chair. She must keep track of scores for each member of her team and be sure that an “X” is entered in every space where a player does not finish the hole. She must see that the card is returned immediately to the scorers when her team finishes. She is responsible for the pace of play of her team.
- Breaking of ties: Ties will be broken in accordance with USGA guidelines as follows – total back nine score (holes 10-18), back six, back 3, last hole.
- Distance devices: The use of aids such as the Golf Buddy and similar devices is allowed.
SPECIAL EVENTS
- Charity Benefits: Held in the spring and fall with proceeds to the League's choice. Members make up their own four-person team. Prizes awarded to gross (only) teams and net (only) teams, based on size of field. Guests may be invited if there is room at the host course and this information will be on the website when the date is announced. The Executive Board will determine participation based on the size of the field and host club. These are prepaid events and include a nice lunch.
- Memorial Tournament: Usually held in the spring. This is an individual NET tournament with a single winner. Teams will also play that day as in a normal weekly event. Ties will be broken by a playoff. Also a prepaid event with a nice lunch.
- CCWGL Championship Tournament:
- Three consecutive, cumulative rounds of medal play in the early fall.
- Flights include: Championship (open to all), Flights A, B and C (index restrictions). There are no strokes given within any flight. Members may elect to move up a flight should they wish.
- Ties are broken by a playoff only for Championship flight, all others will be co-winners. Prizes awarded for first place and runner-up.
- Members over age 65 will also be eligible for the Senior Championship which is awarded to the low gross and low net score for the three days.
- All entrants in the League Championship must have played at least five (5) times between September 1 and August 31 exclusive of the championship itself.
- Prepay (for all three dates) but no nice lunch included.
ANNUAL MEETING & AWARDS LUNCHEON
The annual meeting is held in the late fall. Customarily we invite all Past Presidents to attend and also introduce the new members of the League. The Secretary and Treasurer present their annual reports. The Scholarship Committee announces the recipients. The Nominating Committee presents the slate of officers for a vote.
The Tournament Chair and Prize Chair present the following:
- Championship Tournament winners (all flights), Senior Champions, Memorial Tournament winner.
- Most Improved Player – calculation based on USGA formula and is essentially a weighted improvement in index from beginning of the year to the end.
- Player of the Year – During weekly events (not including Hospital Benefits, Memorial Tournament or Championship) points are assigned on the following basis: low gross and ties, 10 points; 2nd gross and ties, 7 points; 3rd gross and ties, 5 points; 4th gross and ties, 3 points; 5th gross and ties, 1 point. The player who accumulates the most points is deemed to be the Player of the Year.
- Recognition of exceptional participation and holes-in-one.
Old and new business is presented and voted on as necessary. Customarily representatives of charities are present to accept our donations.
DRESS CODE
The CCWGL depends on its members to present a good face to the community. We are invited guests at the courses and our appearance says much about the CCWGL as a whole. Let’s all try to dress up a little and make a good impression. We need to be aware that many of the courses we play have strict dress codes which prohibit short shorts, cargo pants, tee shirts, jeans, sweat pants, etc.
SLOW PLAY
Time of play will be monitored closely in 2011. It is the responsibility of each team and each individual to maintain pace of play. If your score cannot help your team, pick up, record your max for that hole and place an “X” next to that score on the scorecard. We have a responsibility to our host courses to allow them to return to regular play in a timely fashion. As such, any team which does not turn in their scorecard to the Tournament Committee within a reasonable time will be in big trouble. The Tournament Committee will not wait any longer than 15 minutes for the last scorecard to be submitted. That team may be disqualified by Tournament Committee.
LEAVES OF ABSENCE (INACTIVE MEMBERS)
Any member who is unable to fulfill required play in the League due to medical or personal issues must petition the Membership Chair (stanstone19@aol.com) in writing. Leave due personal illness is granted to members who are unable to play golf. The Board may rescind a medical leave if the member is playing golf outside of the League. Special circumstances may be brought before the Executive Board for consideration and its decision is final.
APPLICATION FOR MEMBERSHIP
Any woman who would like to join CCWGL should be directed to the website, ccwgl.org, for an application form. This should be submitted to the Membership Chair for action.
